Privacy Policy Details:
Collection, Holding, and Use of Personal Information: Family Success Matters collects, holds, and uses personal information related to clients, staff, and volunteers. The organization will only collect information that is necessary for one or more of its functions, and the collection of that information must be essential for its intended purpose.
Expectations for Staff and Volunteers: All staff and volunteers of Family Success Matters are expected to uphold the standards implicit in this Policy when they collect, hold, and use personal information.
Retention of Information: Information will only be retained for as long as necessary for the purpose for which it was collected.
Personnel Files: Family Success Matters maintains a personnel file for each employee and volunteer that includes, but is not limited to:
Name, address, and contact details
Date of birth
Emergency contact details
Job information
Performance management notes
Learning and development records
Remuneration
Bank account details
Disclosure to Third Parties: Family Success Matters will only provide information to third parties if:
It is necessary for one or more of its functions or activities
Family Success Matters is legally required to provide the information
Someone else is at risk, and sharing prevents harm to that person
For statistical reports and research (individuals will not be identified)
Unauthorized Disclosure: Unauthorized disclosure of, or access to, personal information by employees, volunteers, contractors, or agents will be viewed as a serious breach of this Privacy Policy. Appropriate action, which may include disciplinary or legal action, will be taken in such cases.
Complaints: Any complaints related to this policy from clients, employees, or volunteers can be made in writing through our complaints form. The FSM managers will ascertain the nature of the complaint and endeavor to bring about a resolution. This does not affect the rights the complainant may have under the Privacy Act 1993.
